Approve your Microsoft Advertising budget and check billing

Confirm your advertising budget, complete Microsoft billing, and verify promotional credits before launch.

Before you begin

Identify the person who can approve advertising spend and the person who owns the payment method. They may be different people.

Confirm which advertising account Pepperland will manage. If setup or access is incomplete, first review Set up your Microsoft Advertising account and give Pepperland access.

Pepperland recommends that your company pay Microsoft directly and approve campaign spending in writing before launch.

1. Agree on the campaign budget

Confirm the campaign’s purpose and destination, start and end dates, currency, media budget, separate Pepperland fees, applicable taxes, total out-of-pocket limit, and who can approve budget increases or pauses.

For Search campaigns, agree on a monthly or fixed-period spending target with Pepperland, then set appropriate daily or shared budgets. A daily budget is a target, not a strict daily spending cap. Actual daily spending can vary, and Microsoft calculates a monthly budget limit. See Microsoft’s campaign budget guide.

For a fixed-period campaign, also agree on the end date and how Pepperland will monitor spending against the approved total. Do not assume a lifetime budget is available for every campaign type. Microsoft currently limits lifetime budgets to Audience campaigns. See Microsoft’s budget options guide.

Include all active campaigns when reviewing the account’s total spending allowance, accounting for any shared budgets.

2. Check the billing setup

Select the correct advertising account and open Billing > Payment methods. Confirm the company payment method and billing address. For postpay accounts, check which payment method is primary and whether a backup is appropriate.

Enter payment information directly in Microsoft Advertising. Never email card details to Pepperland. See Microsoft’s payment methods guide.

Confirm which billing arrangement applies:

  • Postpay threshold: Microsoft collects payment when you reach your billing threshold or monthly billing date, whichever comes first.

  • Prepay: Your company adds funds before advertising runs. Check whether automatic replenishment is enabled.

  • Monthly invoicing: Approved businesses pay according to their invoicing agreement.

The billing threshold determines when Microsoft collects payment; it is not a campaign spending cap.

3. Verify promotional credit separately

Skip this step if your company does not have a promotional offer.

Review the offer addressed to your company and confirm the eligible advertising account, required signup or redemption process, qualifying spend, deadline, credit amount, and expiration date.

Select the correct advertising account, then open Billing > Coupon. If you received a code, select Add promotional code, enter it, and save. Promotional codes are applied to individual advertising accounts, not manager accounts, and require a primary payment method.

Confirm that the offer appears and distinguish between the amount you still need to spend to qualify and credit already available.

Credits cannot pay an existing balance. Ads may continue running after credit expires or is used up, with charges going to your payment method or prepaid funds. See Microsoft’s promotional offer guide for details.

Agree with Pepperland on what to do if an expected credit does not appear. Do not approve spending your company cannot cover without it.

4. Give written launch approval

Review the final campaign with Pepperland. Approve the ads, destination, targeting, budget, and dates in writing before launch.

Confirm whether the approved media budget includes promotional credit or whether the credit would fund additional advertising. A credit does not automatically authorize extra spending.

Ask Pepperland to review any scheduled Google Ads imports or automated rules before launch. These can change Microsoft campaign budgets, and imports can reactivate campaigns depending on their settings. See Microsoft’s guidance on automatic budget changes for more information.

Adding a payment method or accepting an agency linking request does not replace launch approval.

5. Review charges and delivery

Review campaign spending in Microsoft Advertising and payment activity for the same advertising account.

To download billing documents, open Billing > Transactions, choose the relevant date range, select the documents, and choose Download documents.

Microsoft’s statements and invoices use Pacific Time, so account for time-zone differences when comparing them with campaign reporting.

For an unexplained charge, provide Pepperland with the advertising account number, invoice or transaction reference, amount, and relevant dates. Hide payment details in any screenshots or documents you share.
